TenderB uses a structured, AI-assisted workflow to help you create high-quality tender responses efficiently. The process combines AI content generation with human oversight and verification.
The Three-Phase Workflow
Phase 1: Planning and Strategy
Before writing begins, establish a clear plan:
Analyze Requirements: Use AI to extract and understand all tender requirements
Develop Win Strategy: Identify your unique value propositions and differentiators
Create Content Outline: Structure your response with sections matching tender requirements
Assign Sub-Agents: Determine which specialized agents will handle which sections
Phase 2: Content Generation
AI generates draft content with human guidance:
Create Sections: Use "Create section" button to add document sections
Generate Content: Request AI to draft content for each section
Use Sub-Agents: Engage specialized agents (Writing, Research, Quality) for specific tasks
Iterate and Refine: Review AI output and request improvements
Phase 3: Verification and Quality Assurance
This is the most critical phase - never skip it!
Source Verification: Check AI output against source documents
Fact Checking: Verify all claims, statistics, and references
Compliance Check: Ensure response meets all tender requirements
Quality Review: Review for clarity, coherence, and persuasiveness
Step-by-Step: Writing a Bid Section
Step 1: Create the Section
In the right panel under "Write", click "Create section". Name it according to the tender requirement (e.g., "K1: Implementation Plan").
Step 2: Provide Context to AI
In the chat, provide comprehensive context:
"I need to write the K1 Implementation Plan section. This section should be 3-4 A4 pages (approximately 2,500 words) and address the following tender requirements: [list specific requirements]. Our win strategy is to emphasize our phased approach, minimal disruption, and school autonomy. Please draft this section based on the tender documents and our company profile."
Step 3: Select Appropriate Sub-Agents
Click "Expand agents" and select relevant agents:
Requirements Agent: To ensure all requirements are addressed
Plan of Approach Agent: For methodology sections
Writing Agent: For content generation
Step 4: Generate Initial Draft
Send your request. The AI generates a draft based on tender documents and your guidance.
Step 5: Review the Draft
Read the AI-generated content carefully. Look for:
Coverage of all requirements
Accuracy of information
Appropriate tone and style
Logical structure and flow
Specific examples and evidence
Step 6: Request Refinements
Ask the AI to improve specific aspects:
"Please revise to: (1) add more detail about quality checkpoints in weeks 2, 4, and 6, (2) include a visual timeline diagram, (3) strengthen the risk management section with specific mitigation strategies, (4) add a concrete example from our recent healthcare project."
Step 7: CRITICAL - Verify Against Sources
This step is essential to prevent AI hallucinations!
After the AI generates content, explicitly request verification:
"Please review the K1 Implementation Plan you just wrote and verify it against the tender requirements document. Check that: (1) All mandatory requirements are addressed, (2) All facts and claims are accurate and supported by our documents, (3) No information has been invented or assumed, (4) The approach aligns with what the client actually asked for. Provide a verification report highlighting any discrepancies or concerns."
Step 8: AI Self-Check
The AI will:
Re-read the tender requirements
Compare its generated content against requirements
Identify any gaps, inaccuracies, or unsupported claims
Provide a verification report
Suggest corrections if needed
Step 9: Make Corrections
Based on the verification report, request corrections:
"Please update the Implementation Plan to address the gaps you identified in your verification report."
Step 10: Copy to Document Section
Once satisfied with the content, copy it into the document section you created in Step 1.
Step 11: Human Review
Have a subject matter expert review the section for:
Technical accuracy
Feasibility of commitments
Alignment with company capabilities
Competitive positioning
Step 12: Final Polish
Make final edits for:
Grammar and spelling
Formatting and layout
Visual elements (diagrams, tables)
Consistent terminology

Parallel Execution: Sub-agents work simultaneously on different sections
