Principles of Effective AI Communication
1. Provide Clear Context
Always include:
The purpose of your request
Any constraints (word limits, deadlines, format requirements)
The intended audience
Specific requirements from tender documents
Your organization's strengths or unique selling points
Good Example: "I need to write the Executive Summary section for this tender. The summary should be exactly 500 words, written in formal business Dutch, and address a municipal government audience. It must include: (1) our understanding of their needs, (2) our unique approach, (3) our relevant experience, and (4) the key benefits we offer."
Poor Example: "Write an executive summary."
2. Use Specific Language
Use specific numbers instead of vague quantities ("15 workstations" not "several workstations")
Specify timeframes precisely ("within 4 business hours" not "quickly")
Define subjective terms ("high quality" means what specifically?)
Use active voice ("We will deliver" not "It will be delivered")
3. Iterate and Refine
Don't expect perfect output on the first try:
First Request: Get initial content
Review: Identify what needs improvement
Refine: Ask for specific changes
Repeat: Continue until satisfied
Example Iteration:
First: "Please write a section on our project management methodology."
After review: "Please revise to: (1) add more details about quality checkpoints, (2) include a visual timeline, and (3) emphasize our risk management approach."
After second review: "Make the tone more conversational and add a specific example from our recent healthcare project."
4. Attach Relevant Documents
When asking the AI to analyze or reference information:
Attach the relevant files before sending your message
Explicitly mention the documents in your request
