Setting Up a New Tender Project

Creating a project in TenderB is the first step in organizing your tender response. Each project contains all documents, conversations, and work related to a specific tender opportunity.

When to Create a New Project

Create a new project for:

  • Each new tender or RFP you're responding to

  • Framework agreement applications

  • Pre-qualification questionnaires

  • Major proposal or bid opportunities

Step-by-Step: Creating a Project

Step 1: Access the Projects Dashboard

Click on "Projects" in the left navigation menu to view your projects dashboard.

Step 2: Click "Create Project"

Click the blue "Create project" button in the top right corner.

Step 3: Fill in Project Details

Project Title (Required)

Enter a clear, descriptive name for your project.

Best practice: Include the client name and project type

Example: "City of Amsterdam - Smart Lighting Tender 2025"

Client (Required)

Select or enter the client organization name. This helps you:

  • Filter projects by client

  • Track all work for a specific client

  • Apply client-specific templates or settings

Leaders (Required)

Assign project leaders who will have primary responsibility. Leaders can:

  • Make key decisions

  • Approve major changes

  • Access all project content

Members (Optional)

Add team members who will contribute to the project. Members can:

  • View and edit project content

  • Upload files

  • Create conversations

  • Collaborate with the AI

Deadline (Required)

Set the tender submission deadline. This helps you:

  • Track time remaining

  • Prioritize work

  • Receive deadline reminders

Progress (Optional)

Set the initial project status:

  • Not Started: Project created but work hasn't begun

  • In Progress: Actively working on the tender

  • Review: Draft complete, under review

  • Completed: Submitted or decided not to bid

Status (Optional)

Choose a status label:

  • Ongoing: Active project

  • Won: Tender awarded to you

  • Lost: Tender awarded to competitor

  • Cancelled: Tender cancelled or withdrawn

Step 4: Click "Create"

Click the "Create" button to set up your project.

After Creating a Project

Upload Tender Documents

Navigate to the Files section and upload:

  • Tender documents and specifications

  • Evaluation criteria

  • Contract terms

  • Any reference materials

Start Your First Conversation

Go to the Chat section and begin interacting with the AI:

  • Ask the AI to analyze the tender requirements

  • Request a Go/No-Go analysis

  • Begin planning your response

Project Settings

After creation, you can access project settings to:

  • Update project details

  • Add or remove team members

  • Change deadlines

  • Archive or delete the project

  • Configure project-specific AI settings

Best Practices

  • Create projects early: Set up the project as soon as you receive the tender

  • Use consistent naming: Develop a standard naming convention for projects

  • Set realistic deadlines: Allow buffer time before the actual submission deadline

  • Assign roles clearly: Define who leads and who contributes

  • Update status regularly: Keep project status current for better tracking
