Creating Your First Scout
Step 1: Access Scout Management
In TenderScout, click the "Managed Scouts" button.
Step 2: Initiate Scout Creation
Click the blue "Create Scout" button at the top of the panel.
Step 3: Configure Basic Settings
Scout Name:
Enter a descriptive name that clearly indicates what the scout searches for.
Good examples: "WMO Scout", "IT Services Scout", "Construction Projects Scout"
Poor examples: "Scout 1", "Test", "My Scout"
Status Toggle:
Set to "Active" to start searching immediately, or "Inactive" to configure first and activate later.
Step 4: Configure Search Filters
Keywords Field (Required):
Enter search terms separated by commas. The scout searches tender titles, descriptions, and content for these keywords.
Examples:
Social care: "WMO, thuiszorg, zorg, welzijn"
IT services: "IT services, software development, cloud computing, cybersecurity"
Sustainability: "duurzaamheid, sustainability, renewable energy, circular economy"
Best Practices:
Include both Dutch and English terms if applicable
Rather use more scouts with fewer keywords
Use variations and synonyms
Include common abbreviations and full terms
Start broad and refine based on results
Step 5: Optional Advanced Filters
Leave these empty initially to cast a wider net. You can refine later based on results.
Publication Type: Announcement, Market Consultation, Award Notice
Project Type: Services, Supply, Works
Project Nature: Contract, Competition, Concession
Contracting Authority Type: Government, International Organization, Public Law Institution
CPV Codes: Standardized classification codes for procurement
Step 6: Save the Scout
Click the blue "Save" button at the bottom of the form.
Step 7: Activate the Scout
Click the refresh or start button (circular arrow icon) next to your newly created scout to initiate the first search.
First Search Process:
Analyzes the last 100 published tenders
May take several minutes
Matching opportunities appear in the "Pending" tab
Step 8: Review Initial Results
Navigate to the "Pending" tab to review discovered opportunities.
